"How much does a Power BI dashboard cost?" is the question almost every manager asks before hiring — and the one that rarely gets a straight answer. Most providers say "it depends", and it does, but that doesn't help you plan a budget.
This guide gives you real numbers for 2026: the price ranges actually charged in the market, what pushes the cost up or down, the licensing fees nobody mentions in the quote, and how to tell a serious proposal from an inflated one.
What You Are Actually Buying
A dashboard is not "a pretty chart". A professional Power BI project has four layers of work, and that is where the price comes from:
- Data connection and preparation (ETL) — extracting data from Excel, your ERP, e-commerce platform or database, cleaning inconsistencies and organising it into a usable model. This is often 50–70% of the project effort. To understand this stage, see what ETL is and why your business needs it.
- Modelling and calculations (DAX) — defining your business metrics: margin, average ticket, repeat purchase, period-over-period comparison. This is what turns a dashboard from "showing numbers" into "answering questions".
- Panel design — visual hierarchy, the right chart types, useful filters. A confusing panel doesn't get used, and an unused dashboard is wasted money.
- Delivery and training — publishing, automatic data refresh, and teaching your team to use it.
Real Price Ranges in 2026
Based on the freelancer and consultancy market in Portugal and Brazil, these are realistic ranges by project type:
| Project Type | Price Range | What's Included |
|---|---|---|
| Simple dashboard (1 data source, e.g. Excel) | €80 – €300 | 1 panel, essential KPIs, delivered in days |
| Intermediate dashboard (2–3 sources, custom metrics) | €300 – €900 | Data model, DAX, filters, basic training |
| Full project (ERP + several areas, automatic refresh) | €900 – €3,000+ | Robust ETL, multiple panels, documentation |
| Monthly retainer (updates + new analyses) | €150 – €500/month | Maintenance, adjustments, ongoing decision support |
Agencies typically charge 2 to 4 times these amounts for the same scope — part of that pays for structure and process, part pays for pure overhead. For SMEs, a specialised freelancer usually offers the best value; the guide to choosing a data analysis freelancer explains what to check before hiring.
The Costs That Don't Show Up in the Quote
- Power BI Pro licence — about €10 per user/month to share dashboards in the cloud. A team of 5 pays ~€600/year. Alternative: Power BI Desktop is free for individual use.
- Source data quality — if your spreadsheets have inconsistent categories, mixed date formats and empty fields, cleaning costs extra hours. It is the factor that inflates budgets most, and the most invisible one. The 5 mistakes SMEs make when analysing sales data almost all start here.
- Maintenance — dashboards connected to live systems break when the system changes (renamed column, new field). Budget a small yearly amount for adjustments or a support plan.
When Power BI Isn't Even the Right Answer
An honest provider says this before selling: for some situations, Power BI is overkill. If all you need is a simple monthly report with half a dozen indicators and your data lives in a single spreadsheet, Looker Studio (free) or even a well-structured Excel file solves it for a fraction of the cost. The full comparison is in Power BI vs Looker Studio: which to choose.
Power BI pays off when there is data volume, multiple sources, a need for automatic refresh, or metrics Excel can no longer calculate without freezing.
How to Recognise a Serious Quote
- It describes which data sources will be connected and how they refresh (manual? automatic? how often?)
- It lists the metrics and panels included — "sales dashboard" with no detail is open scope, and open scope ends in conflict
- It states what happens after delivery — adjustment period, training, support
- It separates development from licences — the provider shouldn't profit on Microsoft's licence
- It shows real examples — ask to see a working dashboard, not just static images
Avoid both extremes: the "€50 dashboard" (a chart pasted on a page, with no data preparation) and the €10,000 project for an SME with one data source (you'd be paying for the agency's structure, not your problem).
The Return: What Not Having One Costs
The maths few people do: how much do the hours your team spends manually building reports every month cost? A manager who spends 8 hours a month consolidating spreadsheets costs over €1,000/year on that alone — to produce a static report a dashboard would deliver, updated, every day. The article on report automation works through that calculation in detail.
